Manage who can edit profile information on Workplace

This article is only applicable to admins with relevant permissions.
Admins can customize who can edit information in profile fields on Workplace. This can be different for individual profile fields. Example: you can specify that only admins can change people’s locations but that people can change their phone number themselves.
There are 3 options when deciding who can edit information in profile fields:
  • Admin only Admin only: Only Workplace admins can edit this information. These edits are manual.
  • IDP and Admin IDP and Admin: Connected identity providers can update this information automatically and admins can do it manually.
  • Profile owner Profile owner: People can manually edit this information on their profile themselves.
To change who can edit information in specific profile fields:
  1. Click Admin Panel Admin Panel in the left menu on Workplace.
  2. Click Settings Settings.
  3. In the Profile fields tab, click Edit profile fields.
  4. Click the dropdown menu next to each profile field and make your changes.
    • There are some profile fields where you can’t control who can edit information, or where you won’t have all 3 options. For example, you can’t set pronouns or birthday to Admin only or IDP and Admin, and you can’t choose Profile owner for the email address and employee ID fields because admins will always have access to edit these if needed.
  5. Click Done at the top of the page.

Set options for Workplace profile information
Admins can set options that people in their Workplace have to choose from when adding information to their profile (or other people’s if they have permissions).
You can’t set options for all profile fields, such as name, email address and employee ID.
To define options for people to choose from when they’re adding information to Workplace profiles:
  1. Click Admin Panel Admin Panel in the left menu on Workplace.
  2. Click SettingsSettings.
  3. In the Profile fields tab, click Edit profile fields.
  4. Click to the right of the profile field you want to set options for.
    • If this is grayed out (), then it means you can’t set options.
  5. Write options in the Add new values box, pressing enter after each value.
    • Correctly added options will have a blue background.
  6. Click Save.
  7. Click Done at the top of the page.
Note: If information for a profile field was already added before a list of options was put in place, then it won’t be overwritten. However, if someone tries to edit this information after the list of options has been put in place, then they must select one of the options.
